PASSPORT APPLICATION GUIDE

It is very important that you apply on the CKGS website https://passport.in.ckgs.us and follow the due process.

Do not go directly to the Government of India website.

For USA applicants, the CKGS Passport website has been customized so that the website, documents, forms and letters requirements are as per the instructions of the Embassy and the Consulates of India in USA.

The rules on our website will identify your passport category, type, duration, fees and help avoid errors. Further to assist you, many forms and letters that have repetitive information will get auto populated and you only have to fill in the missing fields.

You will be directed from the CKGS website at the appropriate step to the Government of India website to fill your online passport form.

Applicants are advised that they DO NOT print the document on both the sides of the paper as “DOUBLE SIDED PRINTED DOCUMENTS ARE NOT ACCEPTED”.

  1. Document Checklist - Read the document checklist carefully which
    lists the documents, forms, letters, whether originals / or copies are required and whether they have to be self-attested or notarized and the number of documents needed to complete your Passport application before submission.

  4. Temporary Number - This will be the number that one can use on the
    CKGS website in case you want to apply later or get disconnected. Do remember to write down this number.

Step 4

Complete the Forms and Letters

You are required to fill and sign supplementary forms and letters. Where possible we have autofilled the fields. You have to only fill the pending blanks. Some forms and letters have to be self-attested or notarized and we have indicated the same.

  • Enclose 1 copy of the filled in Document Checklist in your package.
  • Review and check the filled forms and letters.
  • Print the forms from the ‘My Account’ page.
  • Sign the forms / letters where indicated.
  • Check which documents are copies and have to be self-attested or notarized and accordingly get that done.
  • Print the document checklist and tick the boxes.

Step 5

Photograph / Signature Specifications

Please make sure that you follow the photo and signature requirements properly.

Photo Specifications
The photo specifications are as follows:
The passport sized photo(s) which are glued to your application as well as any additional loose photos sent with application, must follow the strict guidelines mentioned below. If the photos submitted with your application does not meet these requirements, your application will remain on hold and will not be processed until acceptable photos are sent to the CKGS application center. An email will be sent to you requesting additional photographs, if necessary.

Photo Requirements

Dos

  • Photograph is NOT REQUIRED for applications submitted at Passport Seva Kendra (PSK), Post Office Passport Seva Kendra (POPSK).
  • For other applications i.e. the ones submitted at any other Collection Centre (i.e. District Passport Cell (DPC), Authorized Speed Post Centre (SPC), or other Citizen Service Centre (CSC) e.g. Bangalore One, e-Seva, e-Sampark etc), following are the DOs and DON’Ts to be followed while affixing the photograph:
  • Paste ONLY ONE COLOUR photograph as per the specifications given below.
  • Background of the photograph should be plain white and the dress should be in dark colour
  • Frontal view of the full face should be visible in the photograph
  • Photograph should be printed on good quality photo paper
  • Print of the photograph should be clear and with a continuous-tone quality
  • Expression of the face should be natural (no grinning, frowning or raised eyebrows)
  • Photo must be professional grade, a photo printed from a home/personal printer will be rejected
  • The size of the photograph should be 51mm x 51mm (2 inches by 2 inches)
  • Your recent colored passport size photograph should be pasted in the box meant for affixing the photograph
  • The photo must have adequate brightness and contrast
  • Close of head and top of shoulder so that face takes up 70 – 80% of the photograph
  • Ears should be visible
  • Eyes should be open and clearly visible (No hair across the eyes)
  • Skin tone should be natural. It should not be too dark or too light
  • Head coverings, hair or facial ornaments should not obscure the face
  • The photograph must be taken in a colored attire, for example, a medium blue shirt etc.
  • The attire should not be patterned / textured or pure white.
  • Should not have ‘Red eye
  • Should not have reflection of the flash
  • Face should be directly facing the camera (Portrait style)
  • The background should be of white color
  • Photograph should not be older than 6 months
  • In case of minor, no uniform
  • If wearing prescription glasses then make sure that the frames do not cover any part of the eyes.
  • Photograph should be without any distracting objects. For example: No chair at the background, toys or other people to be visible
  • Photo must not be stapled
  • Photo must be scratch free
Don’ts
  • Do not paste black and white photographs
  • Dimensions of photograph should not be smaller than the box (i.e. 4.5 cm length x 3.5 cm width) provided in the application form
  • Photograph with dark background or in uniform, or with eyes hidden under coloured or dark glasses will not be accepted
  • Photograph in computer print will not be accepted
  • Photograph is NOT to be signed
  • Distracting shadows on the face or on the background should not be there
  • Eyes must not be covered by hair. Glares on eyeglasses should be avoided with a slight upward or downward tilt of the head
  • Photograph should not be damaged, for example: torn, creased, or marked
  • Head coverings are not permitted except for religious reasons, but the facial features from bottom of chin to top of forehead and both edges of the face must be clearly visible
  • Photographs cut from group photographs are not acceptable

Applicants are expected to Affix 1 photograph on EACH of the following documents:
  1. Online Passport Application Form
  2. Change of Appearance / Signature Form

Step 5b

Signature Requirements Signature/Thumb Impression:
a. This signature/thumb impression will be scanned and printed in the passport. Therefore, it must be kept strictly within the box, without touching the boundaries.
b. Illiterate applicants should put left hand thumb impression instead of signature. Use right hand thumb in case the applicant’s left thumb is permanently disfigured and unfit for use. Clearly mention under the signature box that right hand thumb impression has been put.
c. In case of minor applicants, this box should contain the minor’s signature or thumb impression as the case may be. Minor’s parents should not put their signature or thumb impression in this box.
d. Use only blue/ black ball point pen for signature.

Step 6a

Shipping through CKGS

Shipping
You will have to send your fully completed application (all documents & complete payment) through Shipping. It’s recommended that you purchase your shipment through CKGS as this will save you the need to travel, parking charges, as well as waiting time at the CKGS Application Center.

Applications must be sent to the CKGS Application Center of your jurisdiction. It must NOT be sent to the Mission.

  • Simply print the label which will automatically be addressed as follows: Please see the EXAMPLE below.

  • Important Note on Shipping bought through CKGS

    DO's

    • Please send only 1 Application per package.
    • Weight of the package should be less than 0.5Lbs.
    • The shipping label provided by CKGS must be pasted on the envelope.
    • Only use the envelopes shown below to send with the shipping label provided by CKGS:



    DONT's

    • DO NOT enclose your application in any other packaging except for the ones displayed above.
    • DO NOT request a pickup by FedEx / UPS as this is not included in the price.
    • If more than one application is sent in the same package, then the application will be put on hold.
    • DO NOT use the shipping label to submit an application outside of your jurisdiction.

    WRONG PACKAGING
    Applications sent in the wrong packaging will not be processed until CKGS is reimbursed the difference in the amount for shipping applications in the wrong packaging. You will have to log onto My Account and make an online payment for any reimbursement (if applicable).

    Please note that the conditions of the Shipping provider are in addition to the Terms and Conditions of CKGS.

    Note on Prepaid/Own Shipping Label

    In case you use your own shipping label, ensure that you provide the AWB Number and Service provider’s details when you are prompted at the Shipping stage or you can edit it later from the ‘My Account’ page. This is Compulsory to avoid delays.

    If you have used your own label, we cannot take any responsibility of pick-up and delivery to you. The Shipping Service providers often do not acknowledge receipt of the envelopes. Nor will CKGS drop off your prepaid envelopes to your shipping service provider as you have not bought the shipping service from us.

    NOTE:

    • FedEx Prepaid Envelopes sent by you are NOT accepted.
    • USPS Pre-paid labels have an expiry date and hence they are NOT accepted by CKGS.
    • For Prepaid envelopes, CKGS will not be responsible to contact you, and if you ignore this point for any delay occurring will be your liability.

    Step 6b

    Walk In

    If you had selected Walk-in as your submission option, you shall continue online to complete the ‘Appointment Process’.

  • Choose Your 'Appointment Date'
  • Select Your Time Slot
  • If the date / time slot is already booked, then the next available option will be displayed.
  • Get a confirmation of your appointment date and time booked from CKGS.
  • Come in person at the designated appointment date and time and submit your application at the CKGS Application Center.

    Payments must be made Online by Credit Card.

    Note:

    • Payment has to be made separately for each Applicant.
    • Convenience charges will apply for Credit Card.
    • Cash will NOT be accepted.
    • Personal Checks will NOT be accepted.
    • If fees are not paid in full, CKGS will not be responsible for any delays and consequential charges that you may incur.

    Step 7a

    Government of India Online Passport Form

    On the CKGS website, we have given you a sample of how to fill the Government online PASSPORT form. We suggest you print the sample form to assist you. We have also listed the common mistakes that are made, so that you can avoid making the same errors.

    IMPORTANT:
    You will have to leave the CKGS website and click on the link to go to the Government of India Online PASSPORT website
    • On the Government of India website you will find the Online Passport form.
    • Remember to fill in the correct jurisdiction which was identified at the Widget Stage.
    • For best results print on white, bond-quality, non-glossy paper and use of a laser printer is recommended.
    • Sign where indicated.
    • In order to start your Passport Application, you first need to Register on Government Online Passport website. Thus, for Applicant’s convenience, the Sample Government Online Passport Application form is divided into two parts:
      • Part 1: Two step process to get registered on Government Online Passport website to apply for Passport Services.

    • Enter the details below to successfully REGISTER yourself on Government Online Passport Seva website. Kindly enter CORRECT details on the form.


    Common Mistakes to avoid in your Online NRI Passport Application on the Government of India Website

    • The Government of India Online NRI Passport Application website is best viewed through Internet Explorer 8 or higher, Mozilla Firefox® 35.x or higher, Chrome 36 or higher, or an equivalent browser software.
    • Please read the sample of how to fill the Government online PASSPORT form to help you avoid making errors in your passport application form.
    • Ensure that the following details are the same as mentioned in your old passport. If not, the supporting documents must be attached.
      • Applicant’s Name
      • Applicant’s Spouse Name
      • Applicant’s Father Name
    • Only Print your forms/applications on 1 side of the page. Double-sided printouts are not allowed.
    • DO NOT staple your photographs/documents.

    Step 7b

    New Web Reference Number

    IMPORTANT:

    You will get a NEW APPLICATION REFERENCE NUMBER from the Government Online NRI passport application form which will now be the number to be used on the CKGS website to continue the process.

    Step 8

    Submit Your Physical Application to CKGS

    Return to CKGS


    After Completion of the Government of India Passport form, please log onto our website https://passport.in.ckgs.us. On the home page of the CKGS website, click on the box which states ‘Already Filled in Government Online NRI form and continue the process'



    You will come to this page to fill in the New Web Reference Number received from the government site along with your Passport Number and your Date of Birth, to continue the passport application process.




    Once you have completed the online process, you will now have to submit your physical application via shipping or walk-in option as selected by you to the CKGS Indian Passport Application Center as per the Jurisdiction of your application.

    • Arrange
      the filled and signed completed forms, documents and letters in the same order as mentioned in the document checklist.
    • Check
      that the number of documents, original and / or copies, whether they have been notarized or self-attested as indicated on the checklist have been collated and are correct as per your document checklist.
    • Tick off
      the boxes on both the checklists, as you put the documents into your envelope for submission of your ‘Complete’ Application.
    • Enclose
      1 copy of the document checklist in your envelope.

    Remember that the processing of your application will ONLY commence once your physical application package is received by us at the CKGS Indian Passport Application Center, failing which the application cannot be processed.

    If you have used the CKGS shipping option, you will get an email acknowledgement once CKGS receives the actual application package at the CKGS Application Center stating ‘Received, but Not Verified’. Later you will receive an e-mail advising you of the outcome of the verification process.

    Note: Track your Application - CKGS has devised a multi-stage Tracking system to update you on the status of your application. Please visit https://passport.in.ckgs.us/trackandtrace and use your Web Reference Number to get the updated status of your application.

    Step 1

    Submission of application at the Mission

    CKGS will submit your application post verification of all the required documents to the respective Mission for your jurisdiction. The Mission has the right to ask for further documentation beyond the checklist.

    Processing Time

    • Please refer to the processing time (which was part of the result page). This does not include Transit Time / Shipping Duration.
    • There is no need to call the Contact Center or the IPAC unless we exceed the average processing time.
    Step 2

    ‘On Hold’ Application

    • During the processing of your application, if it is noticed that there are any documents or forms missing or any deficiency in your application, you will be notified via email for re-submission of the necessary documents.
    • In the meantime, your application will be ‘On Hold’ and CKGS will not be responsible for delays in completing your application process.
    • Please ensure you provide the missing / correct documents to make your application ‘Complete’ to the CKGS Indian Passport Application Center within 7 working days.
    • To make sure you receive our alerts / updates, add noreply.passport@ckgs.com to your white list / Approved / Safe Sender list.

    Abandonment Policy

    Abandonment Policy
    • If you do not complete your application within 21 days, your application will be returned to you.
    • For cases where the applicant has to provide additional documents as requested by the Mission but are not completed within 21 days, those applications will be sent to the Mission (EOI/CGI). CKGS service fee for passport is non-refundable.
    • Uncollected passports will be returned to the Embassy / Consulate.
    Step 3

    Return of Processed documents

    Once your processed documents are returned to CKGS from the Mission, they are sorted and dispatched within 24 hours.

    3(a)

    Shipping

    CKGS Shipping:
    If you have bought your shipment through CKGS, do not print any labels. CKGS will do so and return your package as per the address indicated by you.

    Note on Prepaid/Own Shipping Label

    Remember to make sure that you have given us your correct email ID and mobile numbers where you are contactable or there will be further delays and CKGS will not be responsible to contact you.

    Applicants can perform multiple tasks using ‘My Account’ option from the website. One can access ‘My Account’ by entering a combination of Web Reference Number, Passport Number . On successful login the applicant will get the below options:

    • Download and Print Shipping Label
